An autoresponder is easy to make annoying. It had to read the specific enquiry rather than send a template, attach a file only when the message called for one, and leave the inbox in a state where unanswered mail was still visibly unanswered.

A template reply is worse than a slow one

The draft is written against the actual message, not selected from a canned set.

The attachment is half the answer

Most enquiries need a specific document, so the file is pulled and attached rather than linked.

The inbox has to stay truthful

Marking the original read is what keeps unanswered mail visible as unanswered.

The challenge was real, and it was costing time, money, and client experience.

How it was built

A watch step picks up new mail. The message is passed to a model that drafts a reply to the actual content, and a second step extracts the sender address from the message rather than assuming the header is clean.

The relevant file is downloaded from Google Drive and attached, a short delay is applied so the reply does not arrive within the same second, the mail is sent, and the original is marked as read.

The solution was designed from the ground up to fit this exact business.
